Review draft: service-provider details, retention arrangements and any app-specific data processing terms must be confirmed before publication.
1. Who we are
Awaab Comply Limited
Registered in England and Wales, company number 16699916.
Registered office: 45 Albemarle Street, London, England, W1S 4JL.
Email: [email protected].
We are responsible for the personal information we use to operate this website and manage our own enquiries. If a housing provider uses Awaab Comply to process case or resident information, the applicable service agreement, data processing arrangements and the housing provider’s privacy information also apply.
2. Information we collect
- Contact and enquiry details, such as your name, business email, phone number, organisation, job title and the information you choose to provide in a form.
- Communications, including emails, demo requests and questions you send us.
- Technical information needed to deliver and protect the website, such as device, browser and connection information.
- Information you provide through the readiness Scorecard, where you choose to use it.
Please do not send resident health information, case files or other sensitive personal information through a general website enquiry unless we have agreed an appropriate way to receive it.
3. Why we use it
- Respond to enquiries and arrange demonstrations.
- Discuss and provide services requested by your organisation.
- Manage business communications and customer relationships.
- Maintain, protect and improve our website and services.
- Meet applicable legal obligations and establish, exercise or defend legal claims where necessary.
4. Lawful bases
Depending on the purpose, we rely on legitimate interests in operating our business and responding to enquiries, steps requested before entering a contract or performance of a contract, consent where required, and compliance with legal obligations.
Where we rely on consent, you can withdraw it. You can object to direct marketing at any time by contacting us or using an unsubscribe option where provided.
5. Website providers and optional services
The website and enquiry forms use Genie/HighLevel platform services. Our explanatory video is hosted by YouTube, and the optional readiness Scorecard is provided through ScoreApp. These services may process technical information when you use them.
The YouTube player is loaded when you choose to load the video. You can instead use the direct YouTube link. Visiting a social-media link takes you to the relevant external provider, whose own privacy information applies.
Read our Cookie Policy for more about optional features and storage technologies.
6. Sharing information
We may use trusted service providers to help deliver hosting, website functionality, forms, communications and support. We share information where necessary for those purposes, with professional advisers where appropriate, or where required by law. We do not sell personal information.
7. International processing
Some technology providers may process information outside the UK. Where restricted transfers occur, the applicable safeguards and contractual arrangements must be in place. Contact us for the information relevant to your organisation’s procurement or data protection review.
8. Retention
We retain information for the purposes for which it was collected, including managing the enquiry or relationship and meeting legal, accounting or reporting requirements. The relevant criteria include whether the enquiry remains active, whether a service relationship follows and whether a legal retention or claims requirement applies.
For information about a particular record or retention arrangement, contact us. App case-data retention should be addressed in the applicable service and data processing arrangements.
9. Your rights
Depending on the circumstances, you may have rights to access, correct or erase information; restrict or object to its use; receive portable information; and withdraw consent where consent is the basis for processing.
To make a request, email [email protected]. If your request concerns resident records held for a housing provider, we may need to direct it to that organisation.
10. Questions and complaints
Contact us first if you have a concern about how your information is handled. You can also complain to the Information Commissioner’s Office, the UK’s data protection regulator: ico.org.uk/make-a-complaint.
11. Security and changes
We take reasonable technical and organisational steps to protect personal information. No system can be guaranteed completely secure. See our Security & Data Protection page for procurement enquiries.
We may update this notice as our services or practices change. The update date above identifies the version.
