Evidence capture best practice

Build a stronger evidence record.

Good evidence helps colleagues understand what was found, how it was assessed and why the next steps were recommended.

Record the context

Identify the property, room, date and people present. Attribute resident reports and distinguish them from what the inspector observed.

Photograph systematically

Use wide views for location, mid-range views for context and close-ups for detail. Explain what each image shows.

Keep measurements clear

Label readings with their location, units and method. Record the conditions needed to interpret the measurements.

Review before issue

Check that observations, measurements, photographs and conclusions agree. Record limitations and further investigation needed.

Before you close the inspection

  • Property, room and inspection details recorded.
  • Resident concerns attributed and recorded accurately.
  • Observations separated from assumptions and conclusions.
  • Measurements labelled with location, units and method.
  • Photographs show location, context and relevant detail.
  • Access restrictions and investigation limitations noted.
  • Further checks and recommended next steps identified.
  • Report checked by the responsible professional before issue.

This checklist supports a consistent record. The scope of investigation and level of expertise should match the issue being assessed.
